Construction Project Manager

Construction Project Manager Roles and Responsibilities

  • Knows the project better than the client’s representative, keeps the client well informed, and educates the entire team on the details to ensure a well-run and complete project
  • Under the supervision of a Construction Operations Manager (COM) the PM is responsible for executing the project on schedule and under budget.
  • Responsible for the development of the construction schedule and labor requirements in concert with the client’s timeframe and as approved by the COM
  • Has a short- and long-range vision for projects assigned and plans the work accordingly.
  • Update schedule on a regular basis at intervals dictated by the length of the project and publish updated schedule with Procore.
  • Monitors the budget weekly, ensuring forecasting and change orders addressed timely.
  • Review job cost reports to identify items of concern. Present issues for management review.
  • Update budget, including forecast to complete, as required within Procore.
  • Utilize Procore to track all change events and change orders.
  • Coordinates and procures all materials as necessary for the execution of the project
  • Works collaboratively with the warehouse staff to track delivery of materials equipment for assigned projects
  • Coordinates with purchasing to order materials.
  • Collaborates and develops estimates for assigned projects going out to bid.
  • Works closely with Estimating and COM to ensure adequate subcontractor bidding
  • Assist in preparation of RFP/bid packages and track the bid process.
  • Select and buy-out subcontractors to complete the work
  • Is consistently prepared for weekly meetings with current schedule & financial data and issues that affect job progress.
  • Addresses in-house labor issues with the COM and General Superintendent
  • Leads a productive and inclusive team of professionals by example- wins as a team
  • Conducts a daily huddle with the team in the field via Teams or in person if necessary, ensuring the written work scope for that shift clear and understood.
  • Ensures work assignments are made to individuals as appropriate
  • In the event of unforeseen issues occurring during the night shift and the supervisor calls for assistance, the PM will be available by phone to help address issues.

Skills:

  • Knowledge of all aspects of Procore Construction Software
  • Is proficient with reading and understanding architectural and engineering plans, and communicating to team members clearly and concisely what the expectations are for work being put in place.
  • Knowledge of basic accounting procedures including making financial projections.
  • Ability to work under pressure.
  • Ability to oversee multiple projects and multi-task as needed to address urgent issues as required in a timely manner.
  • Ability to delegate effectively and follow up to assure compliance.

Professional Development/ Knowledge Base:

Assistant Construction Project Manager

Assistant Project Manager Roles & Responsibilities:

Scheduling and Coordination

  • Create/Edit Master Schedule: Prepare and edit the project master schedule, sending it to the PM for review before finalizing decisions.
  • Three-Week Look-Ahead Schedule: Develop and update a detailed 3-week look-ahead schedule based on the master schedule, specifying work to be performed.
  • Nightly Workload Confirmation: Communicate with supervisors and leads via email to confirm the workload for the night, keeping the PM in the loop.
  • Track Project Milestones: Ensure key milestones and deadlines are met by closely monitoring the project timeline and resources.

Subcontractor and Vendor Management

  • Lead Subcontractor Meetings: Attend and, at the PM’s request, lead subcontractor meetings to ensure project work is being executed properly.
  • Create and Manage Submittals: Draft, create, and manage submittals for the project, seeking approval from the PM as necessary.
  • Punch List Management: Identify and create punch list items; update and track punch list progress with input from the PM or Superintendent (Super).
  • Subcontractor Communication: Effectively communicate with subcontractors to discuss work scope, address issues, and follow up on invoices and material requests.

Documentation and Reporting

  • Meeting Documentation: Attend all project meetings, take detailed notes, and provide the PM with meeting minutes or summaries. Ensure accurate documentation of decisions made.
  • Prepare Meeting Minutes: Create minutes from client meetings and submit them to the PM for review before issuing them to the subcontractors.
  • Procore Documentation: Verify and confirm all relevant project documents are entered and updated in Procore, ensuring a comprehensive and up-to-date project record.
  • Daily Log Review: Review daily logs, discuss current and future workloads with the Super and PM, and ensure appropriate documentation.

Project Financial Tracking and Cost Management

  • Change Event Tracking: Assist in compiling and reviewing Change Events for work outside the agreed-upon scope, bringing them to the PM’s attention.
  • PCOs and Change Orders: Track and send Potential Change Orders (PCOs) to the PM for review, maintaining clear records and documentation for client approval.
  • Cost Reports: Review project cost reports with the PM to ensure the project budget is accurate and up-to-date, and discuss any discrepancies.
  • Purchasing and Quoting Materials: Assist in sourcing materials, obtaining quotes, and purchasing supplies as requested by the PM.
  • Invoice Management: Work with subcontractors to ensure that invoices are submitted and processed in a timely manner.

Project Closeout and Final Documentation

  • Closeout Coordination: Assist in tracking and producing closeout documents for the project by liaising with subcontractors and field teams to gather necessary materials and information.
  • Confirm Documentation Accuracy: Ensure all required documents are correctly entered into Procore and provide necessary details to the owner upon project completion.
  • Final Coordination with Subcontractors: Support the PM in finalizing any open items with subcontractors and assisting with any additional work required for project closeout.
  • Point of Contact for Project Closeout: As requested by the PM, serve as the main point of contact for closing out the project, ensuring all final details are addressed.
